Welcome to our website! Volunteering Journeys provides services to you subject to the following conditions. If you are on our website and booking any program with us you accept these conditions. Please read them carefully.

Acceptance of Terms

Your access to and use of (“the Website”) and any Services is subject exclusively to these Terms and Conditions. You will not use the Website/Services for any purpose that is unlawful or prohibited by these Terms and Conditions. By using the Website/Services you are fully accepting the terms, conditions and disclaimers contained in this notice. If you do not accept these Terms and Conditions you must immediately stop using the Website/Services.

We reserve the right to update or amend these Terms and Conditions at any time and your continued use of the Website/Services following any changes shall be deemed to be your acceptance of such change. It is therefore your responsibility to check the Terms and Conditions regularly for any changes.

Please review our Privacy Policy, which also governs your visit to our website, to understand our practices.

Electronic Communications

When you visit Volunteering Journeys or send emails to us, you are communicating with us electronically. You consent to receive communications from us electronically. We will communicate with you by email or by posting notices on this site. You agree that all agreements, notices, disclosures and other communications that we provide to you electronically satisfy any legal requirement that such communications be in writing.


Volunteering Journeys does not arrange flights or make any travel arrangements to you destination. This is totally the responsibility of the volunteer. General advice concerning passport, visa and health requirements is available in Volunteering Journeys country guides which will be sent to you after confirmation of your booking. Where Volunteering Journeys makes suggestions and provides advice on travel documentation, this is indicative only. Volunteers are solely responsible for having the correct and necessary travel documents that they require for their travel.

Passport, visa and health requirements are subject to change and you must check current requirements before departure. It is your responsibility to obtain all documents required for your trip, to ensure that these are in proper order and to take them with you. Volunteering Journeys will not be liable if you fail to do so and you will be responsible for meeting any additional cost incurred by reason of such failure.

It is the responsibility of the volunteer, not Volunteering Journeys, to make sure that the relevant visas and/or permits are in place. Please check with the appropriate Embassy or Consulate well before you travel.

The volunteer is responsible for carrying all necessary documents when travelling abroad, including but not limited to passport, visa, work permit (where necessary) etc. If you choose to obtain a visa ‘˜on arrival’ for those countries that allow this process, Volunteering Journeys is not liable in any respect if, for whatever reason, you are refused a visa and cannot enter the country and continue your travel plans.

Volunteering Journeys can not accept responsibility if entry is denied to a country due to incorrect visa or passport documentation.


Volunteering Journeys does not provide the volunteer with insurance of any kind. While insurance is not mandatory on all Volunteering Journeys programs, it is on some and this is mentioned in the volunteer requirements page for each program. However while travel insurance is not mandatory on some Volunteering Journeys programs, it is strongly recommended. The volunteer is solely responsible for deciding the type, extent and level of any insurance they require during the planned travel period and is responsible for organising this insurance.


While Volunteering Journeys pre-departure packages include information on immunisations, each volunteer is responsible for checking and confirming the immunisations required for their specific type of travel. Where Volunteering Journeys makes suggestions and provides advice on immunisations, these are indicative only. Volunteers are solely responsible for having the correct and necessary immunisations that they require for their travel. We strongly recommend that volunteers visit their health professional eight weeks before travelling.

Refund Policy

Volunteering Journeys’ registration and program fees are designed to be affordable. As a result we are unable to offer a full refund policy beyond statutory requirements. Registration fees may be refundable according to the rules set out in the following sections entitled ‘Registration Fees’.

Registration Fees

Registration fee will include transaction and foreign exchange costs/fees pertaining to online payments, bank charges or wire transfers.The Volunteering Journeys registration fee is refundable up to ninety (90) days before the start of the volunteer’s placement in the host country. Refunds will be made less a processing fee of GBP£25, which covers transaction costs etc. If the volunteer changes the program start date, then the date considered for refund purposes will be the earliest of the dates planned, unless agreed otherwise with Volunteering Journeys.

Refund requests must be received ninety (90) days prior to the program start date by email or post. Upon receipt of the request the volunteer will be notified via email. If the volunteer does not receive confirmation within 48 hours they should assume that the request has not been received and contact Volunteering Journeys immediately.

A volunteer’s placement on a program cannot be confirmed until the registration fee has been paid in full.

Program Fees

Details of program fees are outlined on each program page. Program fees are paid to our partner organisations (either directly or via Volunteering Journeys) prior to the volunteer’s arrival and are not refundable by Volunteering Journeys. All transaction and foreign exchange costs/fees pertaining to online payments, bank charges or wire transfers must be covered by the volunteer. Program fees are subject to change, but will not affect volunteers who have already paid their registration fee. Program fees are due forty five (45) days prior to the start of the volunteer’s placement. If the booking is made within 45 days of the start date payment is due as soon as the volunteer’s application has been accepted. Failure to make this payment may result in the loss of the volunteer’s placement with no refund of the registration fee.

Program fees are non-refundable in the event that the volunteer cancels their program less than forty five (45) days prior the proposed program start date.

The payment of program fees does not guarantee the exact program selected. As with all volunteering in developing countries it is important that volunteers remain flexible. Staff shortages, school and public holidays, etc may require the volunteer to take part in different projects offered by the same partner organisation.

Registration fees and program fees are not transferrable to other persons.

Leaving the program

If any volunteer due to any reason what so ever, during the program informs Volunteering Journeys/ partner programs regarding decreasing the duration or leaving the program early, no portion of amount of the program fee for the duration proposed to be decreased will be refunded.

Excursion in between the program

If any volunteer goes to any excursion in between his/her program period except weekend tours and then again start the program is not in order and organisation will not permit to them to re-join the program. Such intermediary excursion period we do not permit to avail of by any volunteer and no portion of amount of the program fee for that intermediary excursion period will be refunded.

Change of Dates and Duration

Once registered and before they begin their placement, the volunteer may change the start date and program duration once, subject to availability, at no additional cost. Each additional change to the start date or program duration will incur an administration fee of GBP£25.

 Personal Risks

Volunteering often involves travelling to and working in parts of the world where there may be some personal risk. The volunteer acknowledges and accepts sole responsibility for any such risks of whatever nature that may occur during the term of this volunteering agreement.

Volunteering placements are often in areas where the standards of accommodation, transport, safety, hygiene, telecommunication facilities, level of infrastructure development and medical facilities are not the same as you are used to at home, or would find on a conventional holiday.

Volunteering Journeys cannot accept any responsibility for accidents, injuries, loss of personnel effects or death which you agree to fully assume. You understand that during the placement certain events may occur, including, but not limited to, accident or illness in remote places without medical facilities, political instability and the forces of nature. You agree to assume all risks associated with the journey to the maximum extent permitted by law.

Dates, schedules, program details and cost are given in good faith, based on information available and in force at the time they are given and are subject to change and revision in the event of a change of circumstances. You acknowledge that volunteering requires a degree of flexibility, and understand that the itinerary, accommodation and modes of transport are subject to change without prior notice due to local circumstances.

You acknowledge that Volunteering Journeys contracts with a network of partners, companies, government agencies and individuals throughout the country, to assist in the volunteer placements. To the best of Volunteering Journeys knowledge, these third parties are qualified to perform the duties they are contracted to perform. However, Volunteering Journeys will not be held liable for any injury, damage, loss, delay or irregularity that may occur due to the behaviours of these third parties.

All services are subject to the laws of the country in which they are provided. Volunteering Journeys reserves the right to make changes in the agreed itinerary whenever, in their sole judgement, conditions warrant, or if they deem it necessary for the comfort, convenience, or safety of the volunteer. Volunteering Journeys also reserves the right to withdraw without penalty any program announced.


The volunteer agrees to indemnify Volunteering Journeys and its local partner organisations against any and all claims, demands, losses, causes of action, costs, expenses, fees and damages which the organisations may incur directly or indirectly out of:

1    the breach of these terms and conditions by the volunteer; or
2    any claim or other cause of action made against Volunteering Journeys as a result of the volunteers omissions/actions/inactions and or failure to perform the services required.

Local Rules

Volunteering Journeys will not accept responsibility or liability for any volunteer who contravenes any law or regulation of any country visited.

The volunteer must abide by the rules put in place by Volunteering Journeys’ local partner organisation, volunteer placement institution and host family. Breaking these rules may result in dismissal from the program with no refund. Illegal drug use is strictly prohibited and will result in instant dismissal from the program with no refund.

The volunteer agrees to comply with the partner organisations code of conduct.

Absence from the program

If any volunteer does not report on the program already signed up by him/her within a period of seven days from the program start date, such program will be deemed to have been cancelled. If any volunteer reports to perform his/her program within a week’s period after the program starting date, he/she though will be allowed to perform the remaining period program but no portion of the program fee for the absence period will be refunded.


The volunteer agrees not to directly contact any of Volunteering Journeys’ partner organisations which have been disclosed to them by Volunteering Journeys and shall not directly enter into any arrangement with the partner organisations without Love Volunteer’s written approval except for the following:

1    confirming travel arrangements
2    providing information requested by the partner organisation including feedback

The volunteer agrees to allow Volunteering Journeys to use feedback, including quotes, photos, blogs, videos etc, on as well as Volunteering Journeys’ social networking pages. Volunteers may request that photographs and videos showing individuals be removed from the site, unless these were submitted with the purpose of being shown on the site.

Volunteering Journeys reserves the right to discontinue or alter any aspect of the services provided at any time. Notwithstanding anything else contained in any agreement, the liability of Volunteering Journeys to the volunteer shall not in aggregate exceed the amount of the registration fee paid by the volunteer.

Volunteering Journeys does not warrant or make any representations regarding the correctness, accuracy, reliability, or otherwise of the materials in this site or the result of their use.

Force Majeure

Volunteering Journeys cannot accept liability or pay any compensation where the performance or prompt performance of Volunteering Journeys or our partner’s contractual obligations is prevented or affected by reasons or circumstances amounting to ‘˜force majeure’. Circumstances amounting to ‘˜force majeure’ include any event which we or the supplier of the service(s) in question could not, even with all due care, avoid such as, for example, war or threat of war, civil strife, government intervention, natural or nuclear disaster, industrial dispute, terrorist activity, adverse weather conditions, fire and similar events.

Release Clause

The volunteer agrees to irrevocably release, discharge and agrees not to sue Volunteering Journeys, including any of its agents, employees, managers directors, shareholders, host families and host country partner organisations (“the released parties”) from any actions, suits, liability, claims, or other causes of action of any nature which may hereafter arise from any cause whatsoever including without limitation that arising from the volunteers placement on a program.

Severability Clause

These terms and conditions are severable. In the event of any provision is determined to be unenforceable or invalid, such provision shall nonetheless be enforced to the fullest extent permitted by applicable law, and such determination shall not affect the validity and enforceability of any other remaining provisions.

Volunteer Code of Conduct

This code of conduct sets out the standards of behaviour that is expected of volunteers. Volunteering Journeys is fully committed to responsible for services to volunteer and sustainable tourism. This code of conduct is designed to help you achieve the most out of your placement in a safe manner and that consideration is given to other cultural aspects during your placement.

Please note that breaches of the code of conduct may result in your placement being terminated without compensation.


  • Listen to, and follow the advice or requests of your local coordinators
  • Understand that you are a representative of not only Volunteering Journeys but also your country of origin and act responsibly
  • Agree to a zero tolerance policy towards the possession and use of illegal substances ie.drugs. If you are found in possession of, or are under the influence of such substances, you will have your placement contract terminated immediately
  • Respect, and seek to understand, the culture of the country. This involves being tolerant of the customs and behaviours of the local people
  • Be aware of potentially different attitudes towards sexual relationships in the country which you are volunteering and understand the effect that any such relationship may have on individuals and the local community;
  • Treat all people with respect and dignity
  • Dress appropriately at all times with regard to the culture you are living in
  • Not engage in political demonstrations or political activities
  • Keep your Coordinator informed of your plans about trips and weekends
  • Do not walk alone after dark and isolated places. You should be back at your home last up to 11pm
  • The program is to be run as per the schedule given by the Volunteering Journeys and should be strictly followed
  • Volunteers should not offer cash, gift or any material to any person or staff at work area

 At the project

  • Endeavour to maintain a positive mental attitude throughout your placement
  • Act as a conscientious and professional member of the project team. You are relied on as a dedicated member of the team
  • Abide by all the rules of the project at which you are volunteering and respect other members of staff and your peers
  • Not accept payment of any kind for the volunteering work that you are doing
  • Work hard to achieve not only your own personal goals but also those of the project and the people and / or organisation that you are helping
  • Listen to, and follow, the instructions of your supervisor/contact at the project
  • No Smoking or drinking alcohol at the project sites under any circumstance
  • Inform your supervisor / contact at the project if you are at any time unable to fulfil the duties to which you have committed
  • Treat with care all of the materials that you use during your placement;
  • Please dress appropriately and formal wear so you look professional at all time. Dress code includes covering your knees and shoulders
  • When going directly, from the work area to anywhere, coordinator/supervisor is to be informed
  • If you want to take pictures with children you should take permission from person in charge
  • Don’t pass your telephone number; email address, postal address to any person at work place
  • Volunteer should not offer cash, gift or any material to any person or staff at our partner organisation


  • Respect local custom and abide by the rules of the accommodation in which you are staying
  • You are responsible for the cleaning and tidiness of your room and washroom
  • Change your own bed-sheets and pillow-covers
  • Wash your own dirty sheets and covers
  • Smoking in public places and open areas is not allowed
  • Drugs are strictly prohibited
  • All switches should be turned off when not in use
  • Always check that the doors are closed before going to the bed
  • Lock the doors before leaving your room
  • Any outsiders (your friends, family members and other) are strictly not allowed in the volunteer’s home/host family
  • Volunteers have to stay in volunteer’s home/host family during the working days, they are not allowed to stay any other place, like hotel, hostel, relative’s home and other
  • If any volunteer goes to any excursion on weekends trips, they can leave the accommodation on Friday evening (after work) and they have to back by Sunday evening in anyway and all required travel information must be given to supervisor/host family before leaving
  • Respect the accommodation you are using and pay for any damage you may cause to the property
  • Stay at the accommodation allocated to you
  • Settle any outstanding bills before leaving the accommodation
  • Be aware that there will be no refunds for food/accommodation if you decide to go on trips or leave early

Disciplinary Procedures

We will be flexible, helpful and friendly ‘“ in particular, we will try to help you with your work if you’re trying hard, but still getting into difficulties. Nevertheless, formal complaints procedures (by you) and disciplinary procedures (by us) are necessary.

Every reasonable effort will be made to resolve any disciplinary matter before it becomes serious. However, we reserve the right to take appropriate action in the event of behaviour which would reasonably be expected to give offence to host, pupils, project managers or work colleagues. This includes behaviour such as serious rowdiness or drunkenness, disobey of the set rule & regulations of the Volunteering Journeys/organisation/NGO, failure to turn up to work, leaving work without any adequate reason, or in the event of an unreasonable inability, from whatever cause, to do the work expected. It would be at the discretion of Volunteering Journeys to suspend you from your work during any disciplinary process. You are under the authority of Volunteering Journeys throughout the period of the project placement.


In no event will, or any person or entity involved in creating, producing or distributing or the software/content, be liable for any damages, including, without limitation, direct, indirect, incidental, special, consequential or punitive damages arising out of the use of or inability to use User hereby acknowledges that the provisions of this section shall apply to all content on . does not take any direct responsibly for the use of third party online payment facility. All disputes arising with Payment fraud will Directly be dealt with the Banks depending on the method of Payment used by the customer. will only deal with any disputes or charges in UK and is governed by British Law. All copyright issues including others will only be dealt in UK court of Law. All disputes and cases will be solved in the UK only.


Volunteering Journeys Pvt Ltd of 121 Kingsmead Avenue, Worcester Park, UK and you, the applicant, are the sole parties to the contract for the provision of your volunteer placement. The proper law of the contract between us is the UK Law. The courts of UK shall have exclusive jurisdiction to settle any dispute which may arise out of or in connection with the contract.
